3. Server log files

When you visit this website, our hosting provider automatically processes certain technical information, including:

• your IP address;
• the date and time of your visit;
• the pages or files you access;
• your browser and operating system; and
• the referring website, where available.

We use this information solely to operate the website securely and reliably. The legal basis is our legitimate interest under Article 6(1)(f) GDPR.

Server logs are normally deleted within 7 days.

4. Calculators and the code decoder

The calculators and the endorsement code decoder on this website (under /fines and /tools) run entirely in your browser. The amounts, dates and other details you enter are processed on your device only: they are not sent to us or to anyone else, and they are not stored anywhere. When you close or reload the page, your entries are gone. The only data processed when you visit these pages is the technical access data described in section 3.

5. Machine translation

Our translation tool at finepost.co.uk/text works in two steps. As you type, the text is sent to our own server, where it is checked against our legal dictionary so that the terms we have notes for can be highlighted. This check runs in memory and answers immediately; the text is not stored and no external service is involved at this stage. 

When you request a machine translation, the text is sent from our server to Microsoft Azure AI Translator to produce the translation. Our Azure Translator resource is hosted in the UK South region. Finepost does not permanently store the text you submit. According to Microsoft, standard translation requests are not used to train its general translation models. 

The legal basis for both steps is Article 6(1)(b) GDPR.

6. Contact by email

If you contact us by email, we process your email address, your message, and any attachments in order to respond to your enquiry or provide the service you have requested.

The legal basis is Article 6(1)(b) GDPR or, for general business correspondence, Article 6(1)(f) GDPR.

We delete your data once it is no longer needed, unless we are required to retain it by law.

7. No tracking

This website does not use analytics tools, advertising trackers, or marketing cookies. Any technically necessary cookies or similar technologies are used only where they are required for the website to function.
